This can happen for various reasons, often linked to syncing issues with iCloud or accidental deletions. Imagine my surprise when, after tweaking some iCloud settings, I found my Desktop stripped of its files and folders. Losing important data this way is a scenario we&#8217;d all like to avoid.<\/p>\r\n<p>In this article, we\u2019re going to take a look at how to recover desktop files that have disappeared on your Mac and look at various ways to restore and get them back.<\/p>\r\n<div class=\"alert alert-success\" role=\"alert\"><b>Need the fastest path?<\/b> If you\u2019ve already tried the common fixes (searched for the missing files with Spotlight, checked the Trash, looked in iCloud Drive, and tried Time Machine) and your desktop files are still missing, go straight to <a href=\"#recovery\">Method 5: Recover Desktop Files Using Disk Drill<\/a>. In most cases, it usually comes down to one of these:<\/p>\r\n<ul>\r\n\t<li>&#x267b; Issues syncing with iCloud Drive as I experienced<\/li>\r\n\t<li>&#x1f464; Accidentally deleting the file thinking that you won\u2019t need it anymore<\/li>\r\n\t<li>&#x1f329; Power outage causing data loss<\/li>\r\n\t<li>&#x1f4a5; Computer crash<\/li>\r\n\t<li>&#x1f50d; Attribute changes causing files and folders to become hidden\u00a0<\/li>\r\n\t<li>&#x1f4be; Forgetting to save a file that you\u2019re working on<\/li>\r\n\t<li>&#x1f610; Overwriting a file with a new one<\/li>\r\n\t<li>&#x1f469;&#x200d;&#x1f4bb; Misplacing the file on your MacBook<\/li>\r\n<\/ul>\r\n<p>While the list above doesn\u2019t list every instance that you may lose a file if you have experienced a desktop file or folders disappearing, there are ways for us to recover them back onto our Mac.<\/p>\r\n<p>Below, we will look at various ways to recover desktop files and even give you a tip on how to protect your data!<\/p>\r\n<h2 class=\"title_sc_bg\"><span class=\"ez-toc-section\" id=\"method_1_use_spotlight_search_to_find_the_file\"><\/span><span class=\"title_shortcode_bg\">Method 1:<\/span> Use Spotlight Search to Find the File<span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n<p>You may have accidentally misplaced a file on your desktop or put it into another folder by accident. We can use Spotlight to locate this file on our Mac.<\/p>\r\n<p>Spotlight is a powerful search tool that comes built-in as part of macOS. Spotlight can help you quickly find apps, documents, and other files on your Mac. Spotlight can even perform calculations and conversions for you which is really handy.<\/p>\r\n<p>It\u2019s quite easy to use and it only takes a few steps to search for the name of the file that we\u2019re trying to recover.<\/p>\r\n<p><b>Step 1.<\/b> Click the Spotlight magnifying glass icon in the upper right-hand corner of your screen.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-40912 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Spotlight-1.jpg\" alt=\"Use Spotlight Search to Find the File\" width=\"1516\" height=\"780\" \/><\/p>\r\n<p><b>Step 2.<\/b> You will then have a search box popup where you can type in the name of the file. Sometimes it can be hard to remember the exact name of the file so you can also type in keywords or even text that is located within the file to try and locate it.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-40911 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Spotlight-2.jpg\" alt=\"searching for files using spotlight\" width=\"938\" height=\"590\" \/><\/p>\r\n<p><b>Step 3.<\/b> From this screen, you have a couple of options. You can click the file and open it or you can click and drag the file to your desktop helping you recover the lost desktop file on your Mac.<\/p>\r\n<h2 class=\"title_sc_bg\"><span class=\"ez-toc-section\" id=\"method_2_restore_desktop_files_using_the_trash\"><\/span><span class=\"title_shortcode_bg\">Method 2:<\/span> Restore Desktop Files Using the Trash<span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n<p>It\u2019s also a good idea to double-check the Trash manually if files or folders have disappeared from your desktop on your Mac, since you may have deleted them without noticing.<\/p>\r\n<p>Items will stay in the Trash until it is emptied. If you have your Trash set to empty on its own, your files will stay there for 30 days. This setting is off by default, but it is something that you should be aware of.<\/p>\r\n<p>The good news is that it only takes a few steps to <a href=\"\/howto\/recover-emptied-trash-mac.html\">recover a deleted file from your Trash<\/a>.<\/p>\r\n<p><b>Step 1.<\/b> Launch the Trash by finding it on your dock and double-clicking on it.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-40910 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Trash-1.jpg\" alt=\"Restore Desktop Files Using the Trash\" width=\"1058\" height=\"582\" \/><\/p>\r\n<p><b>Step 2.<\/b> Once within the Trash, look for the name of the file that you\u2019re trying to recover. You can also click on the magnifying glass in the upper right-hand corner to type in the name of the file and that will allow you to search your Trash for it. This is handy if you have a lot of items in your Trash as it may be hard to navigate through all of them.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-34205 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Trash-2.jpg\" alt=\"recovering file from the trash\" width=\"1526\" height=\"860\" \/><\/p>\r\n<p>Now that we have found the file that we\u2019re trying to recover, you can either drag it out from the trash and put it back onto your desktop or click \u201cPut Back\u201d which will put it back to where it was in the first place. Keep in mind that this may not be on your desktop though. It could go back to a folder or another place on your Mac.<\/p>\r\n<h2 class=\"title_sc_bg\"><span class=\"ez-toc-section\" id=\"method_3_restore_files_using_icloud_recovery\"><\/span><span class=\"title_shortcode_bg\">Method 3:<\/span> Restore Files Using iCloud Recovery<span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n<p>If your Desktop and Documents folders are synced with iCloud Drive, there\u2019s one more place worth checking. When files get deleted from those synced locations, they may also appear in iCloud\u2019s recovery area for a limited time.<\/p>\r\n<p>This can help in cases where files disappeared from your desktop on your Mac, especially if the Desktop was synced through iCloud and the files no longer show up in Finder, the Trash, or their usual folder.<\/p>\r\n<p><b>Step 1.<\/b> Open <a href=\"https:\/\/www.icloud.com\/\" target=\"_blank\" rel=\"noopener\">iCloud<\/a> in your browser and sign in with your Apple account.\u00a0<\/p>\r\n<p><img class=\"border-gray border-radius-10 alignnone wp-image-58336 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/icloud.jpg\" alt=\"iCloud \" width=\"1999\" height=\"1291\" srcset=\"https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/icloud.jpg 1999w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/icloud-300x194.jpg 300w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/icloud-500x323.jpg 500w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/icloud-768x496.jpg 768w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/icloud-1536x992.jpg 1536w\" sizes=\"(max-width: 1999px) 100vw, 1999px\" \/><\/p>\r\n<p><b>Step 2.<\/b> From there, go to <a href=\"https:\/\/www.icloud.com\/recovery\/\" target=\"_blank\" rel=\"noopener\"><b>Data Recovery<\/b><\/a> and look for the option to restore files. If the missing items are still available, you may be able to restore them back to iCloud Drive and have them sync to your Mac again.<\/p>\r\n<p>This is worth trying because it only takes a minute, and in some cases it saves you from having to scan the drive with recovery software.<\/p>\r\n<div class=\"alert alert-info\" role=\"alert\"><b>Note:<\/b> If Desktop &amp; Documents syncing is enabled, it\u2019s also worth opening <b>iCloud Drive<\/b> in Finder and checking whether the missing files are still there. In many cases, syncing changes alone do not remove the folders from their usual spots on your Mac, but they can still affect where your files appear.<\/div>\r\n<h2 class=\"title_sc_bg\"><span class=\"ez-toc-section\" id=\"method_4_recover_desktop_files_using_time_machine\"><\/span><span class=\"title_shortcode_bg\">Method 4:<\/span> Recover Desktop Files Using Time Machine<span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n<p>Time Machine is a built-in backup feature that comes as part of macOS. Time Machine automatically makes hourly backups for the past 24 hours, daily backups for the past month, and weekly backups for all previous months. The oldest backups are deleted when your backup disk is full.<\/p>\r\n<p>macOS can also create local snapshots on the internal drive when the backup disk isn\u2019t connected, which means you may still be able to restore files even if your usual Time Machine drive is not currently available.<\/p>\r\n<p>Keep in mind that to use Time Machine, you would have had to of already been <a href=\"\/howto\/backup-your-mac.html\">backing up your computer<\/a> ahead of time.<\/p>\r\n<p><b>Step 1.<\/b> Plug in the external hard drive that you back up your Mac with.<\/p>\r\n<p><b>Step 2.<\/b> Launch Time Machine. You can find Time Machine in your Applications folder on your Mac.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-34202 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-1.jpg\" alt=\"launching time machine from within finder\" width=\"1540\" height=\"872\" \/><\/p>\r\n<p><b>Step 3.<\/b> You then will have the ability to scroll on the lower right-hand side and select a previous date on your Mac. This will allow you to see how your Mac looked on that date and time. If you remember the last time that you had your file, simply just go to that date and the file should be there. The longer that you have been backing up your machine, the further back you will be able to restore files from.<\/p>\r\n<p><img class=\"border-gray border-radius-10 alignnone wp-image-58328 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2.jpg\" alt=\"Scroll on the lower right-hand side\" width=\"3000\" height=\"1875\" srcset=\"https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2.jpg 3000w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2-300x188.jpg 300w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2-500x313.jpg 500w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2-768x480.jpg 768w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2-1536x960.jpg 1536w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-2-2048x1280.jpg 2048w\" sizes=\"(max-width: 3000px) 100vw, 3000px\" \/><\/p>\r\n<p><b>Step 4.<\/b> After you have found the disappeared desktop file, you can click on it and choose Restore. This will put it back onto your Mac from your external hard drive. You can also use this method to restore to a previous version of the file if you don\u2019t like the changes that you have made to it with time. It doesn&#8217;t just have to be used for data recovery.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-34207 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/Time-Machine-3.jpg\" alt=\"restoring a disappeared file using time machine\" width=\"2048\" height=\"1280\" \/><\/p>\r\n<p>If you\u2019re not backing up using Time Machine, let\u2019s take a look into third-party data recovery software as anyone can use and benefit from this. I have used data recovery software in the past to <a href=\"\/howto\/recover-deleted-photos-mac.html\" target=\"_blank\" rel=\"noopener noreferrer\">find recently deleted photos on my Mac.<\/a> When you don\u2019t have backups, these tools can be incredibly useful.<\/p>\r\n<h2 class=\"title_sc_bg\"><span class=\"ez-toc-section\" id=\"method_5_recover_desktop_files_using_disk_drill\"><\/span><span class=\"title_shortcode_bg\">Method 5:<\/span> <span  id=\"recovery\">Recover Desktop Files Using Disk Drill<\/span><span class=\"ez-toc-section-end\"><\/span><\/h2>\r\n<p>If you still can\u2019t locate your file, we can try using <a href=\"\/\">Disk Drill<\/a> to find and recover the disappeared desktop file.<\/p>\r\n<p>I\u2019ve used Disk Drill for recovery jobs like this before, so I\u2019m going to use it again for this demonstration. It can scan your drive and look for files that were deleted, lost, or became inaccessible for some reason.<\/p>\r\n<p>To give yourself the best chance of recovery (especially if the files were actually deleted), it\u2019s smarter to install Disk Drill on a different drive instead of your main system drive (since files from your Mac Desktop are stored on your system drive). If you have an external drive or even a USB flash drive, use that. It helps reduce the chance of new data overwriting the missing files.<\/p>\r\n<p>If you don\u2019t have another drive available, go ahead and install it on your system drive anyway. That\u2019s still better than doing nothing.<\/p>\r\n<div class=\"alert alert-info\" role=\"alert\">&#x1f5e8;&#xfe0f; <b>Note<\/b>: On modern Macs with SSDs, the chances of recovery are often lower than they are on older Macs with traditional hard drives (HDDs). That\u2019s because SSDs often use <a href=\"\/help\/can-i-recover-data-if-trim-is-enabled-on-my-ssd-drive\/\">TRIM<\/a>, a feature that clears deleted data blocks in the background so the drive can keep working fast. Once that cleanup happens, recovery software may find little or nothing left to restore. This can take some time depending on how much data that you have.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-34208 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-2.jpg\" alt=\"scan in progress\" width=\"2048\" height=\"1171\" \/><\/p>\r\n<p><b>Step 4.<\/b> After the scan process has completed (or even right away if you want to watch the results appear in real time), you can click on Review found items and look through what Disk Drill was able to find. (As a practical tip, if Disk Drill shows you a proper preview of the file, you can recover that file with no issues.)<\/p>\r\n<p>There is also a search box in the upper right-hand side of the screen that you can type in the name of your file to search for it.<\/p>\r\n<div class=\"alert alert-info\" role=\"alert\">&#x1f5e8;&#xfe0f; <b>Note<\/b>: You can also control what Disk Drill shows in the scan results. For example, the Show menu lets you switch between All <b>files, Deleted or lost, Existing, Personal data<\/b>, and <b>Reconstructed<\/b> results. That can make the list much easier to work through, especially when your scan pulls up hundreds of thousands of items. You can also choose whether to show system and hidden files or hide duplicates, which helps cut down the clutter even more.<\/div>\r\n<p><img class=\"border-gray border-radius-10 alignnone size-full wp-image-58338\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-all-files.jpg\" alt=\"The Show menu \" width=\"1556\" height=\"824\" srcset=\"https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-all-files.jpg 1556w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-all-files-300x159.jpg 300w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-all-files-500x265.jpg 500w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-all-files-768x407.jpg 768w, https:\/\/www.cleverfiles.com\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-all-files-1536x813.jpg 1536w\" sizes=\"(max-width: 1556px) 100vw, 1556px\" \/><\/p>\r\n<p><b>Step 6.<\/b> Click the blue Recover button, then choose a save location for the restored files. You\u2019ll notice that your main drive is marked with a yellow warning triangle. That\u2019s because Disk Drill always recommends saving recovered files to a different drive, not the same one you\u2019re recovering from. The reason is simple: writing recovered data back to the same drive can overwrite other deleted files that app hasn\u2019t restored yet, which lowers your chances of getting everything back.<\/p>\r\n<p><img class=\"border-gray border-radius-10 aligncenter wp-image-34206 size-full\" src=\"\/howto\/wp-content\/uploads\/2026\/04\/disk-drill-4.jpg\" alt=\"recovering file in disk drill\" width=\"2048\" height=\"1200\" \/><\/p>\r\n<p>That\u2019s it!
